Can I view, change or erase my passenger information?

Yes, you can do this by submitting requests to Customs, the passenger information unit (Pi-NL) and your airline. You can ask the Ministry of Defence to show, change or erase the Advance Passenger Information (API) held by the Royal Military and Border Police (KMar).

Viewing and correcting passenger information

You have the right to view or change your passenger information, or to have it erased. This is called the right to access, rectification and erasure.

Who can submit a request?

You can submit a request to view or change passenger information

  • for yourself; or
  • on behalf of someone else, but only if:
    • you are a lawyer and your request is accompanied by written authorisation, signed by your client; or
    • you are the legal representative of a minor child or a person under guardianship.

A request on behalf of someone else that is not accompanied by valid authorisation or proof of legal representation will be rejected.

What passenger information can I view, change or have erased?

The information you can view, change or have erased is your Passenger Name Record (PNR) and Advance Passenger Information (API). Read more about the PNR and API, how organisations use this information and how long it is kept (the retention period).

Your request cannot be about other information relating to past or future flights you have taken, as recorded by your airline or travel agent. Customs, Pi-NL and KMar cannot change booking information or flight information. To do this, you must contact your airline or your travel agent.

Viewing, changing or erasing your passenger information (PNR)

You can submit a request to Customs, your airline and/or Pi-NL to view or change data in your Passenger Name Record (PNR). If you want your PNR to be erased completely, you must submit a request to all three organisations. 

  • Customs
    Send an email to douaneklachten@douane.nl.
    The subject line of your email should be: ‘Inzage/correctie trip’. Include your name and phone number in the email, and say whether you want to view or change your passenger information or have it erased.
  • The airline that operated your flight
    Ask the airline what you need to do to view or change your passenger information, or have it erased.
  • Passenger information unit (Pi-NL)
    Send an email to FG-Pi-NL@minjenv.nl. The subject line of your email should be ‘Inzage/correctie PNR’. Include your name and phone number in the email, and say whether you want to view and/or change your passenger information or have it erased. Also include a digital copy of your passport or ID card. You should make sure your citizen service number (BSN) and your photo have been redacted. Without this copy, your request will not be processed. You can make a secure copy of your identity document with the KopieID app. It allows you to redact details which the receiving organisation does not need. This helps prevent misuse of personal data.

Viewing, changing or erasing your Advance Passenger Information (API)

You can submit a request to view or change your Advance Passenger Information (API), or to have it erased, to the Ministry of Defence. Fill in the ‘Request for privacy rights’ form online (at the bottom of the page entitled Privacy rights at the Netherlands Ministry of Defence) and click ‘Verify’. Then scroll down and click ‘Send’.

Reporting an infringement of personal data processing laws

If you suspect your personal data has not been processed in compliance with personal data processing laws, you can submit a complaint to the Dutch Data Protection Authority. If you disagree with the decision on your request, you can lodge an application for judicial review.
